As we continue to grow, we are looking for an organised, proactive and technology-driven Operations & Office Administrator who will help keep our business running efficiently while supporting multiple departments including Operations, Finance, Compliance, Customer Success and Executive Management.
This role goes beyond traditional office administration.
You will coordinate day-to-day business operations, support company administration, assist with finance and HR processes, manage office systems, coordinate vendors and help ensure smooth execution of internal projects.
You will become the operational backbone of the business.
Manage daily office operations.
Coordinate meetings and company calendars.
Organise travel, accommodation and logistics.
Manage office inventory and procurement.
Coordinate courier and document handling.
Maintain office equipment and facilities.
Support senior management with scheduling and administration.
Prepare meeting agendas and minutes.
Coordinate Board and management meetings.
Track action items and follow up on deliverables.
Maintain company records and documentation.
Support contract administration.
Coordinate company licences and renewals.
Maintain supplier and vendor records.
Assist with company insurance and asset registers.
Process invoices and purchase requests.
Track operational expenses.
Support petty cash management.
Assist Finance with reconciliations and documentation.
Coordinate payment approvals.
Coordinate recruitment logistics.
Assist employee onboarding and offboarding.
Maintain employee records.
Coordinate leave schedules.
Support staff events and training.
Assist with customer escalations.
Coordinate merchant onboarding documentation.
Support Operations during high-volume periods.
Help maintain service documentation and operational procedures.
Diploma or Degree in Business Administration, Operations Management, Finance or related field.
3+ years' experience in administration or operations.
Excellent organisational and planning skills.
Strong communication skills.
Advanced Microsoft Office and Google Workspace skills.
Comfortable working with cloud-based business systems.
Experience in fintech, banking or payments.
Experience using CRM or ERP systems.
Basic bookkeeping knowledge.
Familiarity with compliance documentation.
Project coordination experience.
Within six months you will:
Improve operational efficiency across departments.
Maintain accurate company records and documentation.
Streamline administrative processes.
Support timely onboarding of employees and merchants.
Improve internal coordination and reporting.
Help create a well-organised, scalable operational environment.
